AWC conferences and events terms of agreement

 

Online events


Online event registration fees are nonrefundable. A recording of the event is typically available within one week of the event’s original date. Sharing a registration link is strictly prohibited.

 

In-person conferences and events refund/cancellation policy


Submit all cancellation and refund requests to AWC Registration at registration@awcnet.org. Refunds are based on event type and granted in accordance with the terms noted below. AWC regrets that refunds will not be given for no-shows.

Substitutions are gladly accepted! The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution. Badge sharing is strictly prohibited.

 

In-person conferences (multiday events)


All registration cancellations and refund requests must be made in writing 30 days in advance. A refund of the full conference fee, minus a $75 administrative fee, will be given for cancellations received by that date. No refunds will be granted for requests received less than 30 days prior to the event and full payment is expected. Conferences and multiday events include Annual Conference, City Action Days, Labor Relations Institute, Municipal Budgeting and Financial Management, and Healthy Worksite Summit.

Multi-day events that are free of charge, require a written cancellation notice at least 30 days in advance. A $75 administrative fee will be charged for all cancellations and no shows to cover food and beverage minimums.

 

In-person workshops (single-day events)


All registration cancellations and refund requests must be made in writing at least 14 days in advance. A refund of the workshop fee, minus a $25 administrative fee, will be given for cancellations received by that date. No refunds will be granted for requests received less than 14 days prior to the event and full payment is expected.

The cancellation policy applies to workshops and events that are free of charge and offer a meal.

 

Guest registration


Some AWC conferences and events offer a guest registration. The guest registration fee is restricted to persons who are not city or public officials and would have no professional reason to attend the conference. Conference session seats are reserved for full conference registrants.

 

Consent of use


Attendance at or participation in any AWC workshop, conference, or event constitutes an agreement that attendee name, title, business address, and any photographs, video, audio, or other visual or audio reproduction obtained during the event can be used for promotion and recruitment, including internet and website use. AWC is released from any liability connected with the use of event photos, video, or audio.

 

Special needs


AWC strives to provide accessible educational opportunities for individuals with disabilities. Please contact Gina Abram at (360) 753-4137, at least seven business days prior to the workshop if any disability accommodations are needed. For TDD users, please use the state’s toll-free relay service, (800) 833-6388, and ask the operator to dial the AWC number.

 

Special dietary needs


If you have special dietary needs, please include the information when you register or email registration@awcnet.org at least seven business days prior to the meal event. You will receive a special meal ticket in your registration packet to present to your server at the event. Unless prior arrangements are made, the serving staff will not be able to accommodate special requests.

 

Scholarships


Scholarships apply to the cost of registration for the event (travel and lodging are not included). If you register using a scholarship and cancel your registration or do not attend, your city will be charged a cancellation fee.
